Position Description
If you would like to join an exciting and challenging position as a member of the Southern Africa Volvo Trucks team, then this may be the position for you! We’re looking for someone who can proactively support the business to reach thier strategic and financial objectives. You will have a key role in driving and tracking financial performance as we aim to extend and grow the business.

The main purpose of the job is: To effectively control, update and report on all debtor accounts, including warranties and other income within Volvo Group South Africa. Timely updating, reporting and feedback of credit function, ensuring that it complies with all set parameters and standards that fully support the business objectives. Your main task is to work in a flexible and proactive way with credit management to secure customer payments.
You will have both an operative role as well as be a part of developing our strategy to develop business.
You will have the responsibility to do daily and monthly credit management tasks this could also include credit checks, customer registration, reporting AR-days and overdue and prepare and present material to the Volvo Trucks Credit Committee.

Reporting: This position will report to the Regional Manager Eastern Division

Job Objectives:

  • To ensure that outstanding debts are collected and payments allocated within set payment terms.
  • To communicate with internal stakeholders, incl. dealerships, sales staff to ensure that all are kept up to date with outstanding debts.
  • To communicate with external customers to advise and/or inquire and obtain commitment regarding debts/overdues.
  • To identify any risk factors, and ensure that the relevant stakeholders are made aware thereof, and corrective actions taken to mitigate against risks to the business.
  • To handle all inquiries and ensure full inquiry resolution within set time parameters.
  • To ensure that reconciliations of debtors are completed on a continuous basis and in full compliance with set standards of quality.
  • To compile age analyses at regular intevals and ensure continuous updates.
  • To process credit applications on the basis of relevant credit reports and other supporting information.
  • To ensure that all work is done according to IFRS standards.
  • To provide reconciliations and information required as part of the Audit process
  • To ensure that sundry credit notes and invoices are processed timeously
  • To ensure that master accounts are updated with debtors information.
  • Weekly and monthly reporting to stakeholders. Follow-up and analysis of overdue receivables and account receivables, including early warnings
  • Ad hoc issues relating to the above

Education:

  • National Diploma in Accounting (essential).
  • BComm Accounting (desirable).
  • Previous experience in the Finance / Business Control area and specifically in the credit management area
  • Good understanding of AB Volvo’s financial policies & reporting processes is desired
  • Good knowledge of Microsoft Office & especially Excel
  • Good knowledge of AB Volvo’s financial reporting systems, i.e. Essbase & SAP R/3 is desired

Job Related Experience:

  • Minimum 5 years of Credit accounting experience or relevant practial experience.
  • Proven experience in a finance role in a similar sized organisation would be preferable

Volvo Group Job Description

The main purpose of the job is to ensure that all administration pertaining to workshop process is dealt with efficiently.

Reporting: This position report to Team Leader.

Principal Responsibilities:

  • Opening and processing of job cards for repairs, maintenance and servicing.
  • Ensure information on book in sheet received from workshop include all relevant information e.g. registration number, chassis number, kilometer reading etc.
  • Recording service type, e.g. basic, annual etc.
  • Record any other faults e.g. brake lights not working, vehicle overheating, etc.
  • Transferring all relevant information onto job card on computer.
  • Carry out credit checks.
  • Ensure that job card is allocated to correct account i.e. customer, warranty, maintenance contract.
  • Ensure that job cards are signed by Driver/owner or relevant responsible person.

Outwork/sublet orders

  • Raising a sublet order.
  • Ensure outwork supplier submit quotation for work to be done.
  • Sublet order raised against the job (First copy to outlet supplier, second to costing file and third to the job card).
  • Copy of processed invoice and order to be attached to job card.

Closing of job cards (work in progress)

  • Ensure that daily WIP controls are in place and that regular follow ups are done with workshop team leaders to ensure continuous flow of process.
  • Ensure job card has been completed as required with all relevant information, i.e. date, work carried out, time started, time finished, total time worked, VST, cause of failure, etc.
  • Ensure that owner or relevant person sign acceptance of work and/or parts fitted.
  • Ensure job is signed off by relevant Mechanic, the Team Leader and the AM Manager before closure.

Job Processing and Workflow

  • Enter brief description of work done and any notes made by the Workshop Manager.
  • Enter parts used.
  • Enter labour according to VST codes.
  • Enter outwork.
  • In case of breakdowns enter travelling time and call out fee.
  • Enter sundries and consumables.
  • Print invoice and ensure it is handed to the Workshop Manager to sign off and ensure order numbers are in place.
  • Hand over to administrative assistant.
  • Upon final confirmation of payment received issue gate pass to driver.

Filing

  • Ensure filing is kept up to date.
  • Daily printing and filing of all claim documents onto relevant job cards .

Expectations:

  • Expect to give full support as a Workshop Administrator.
  • Work according to the Volvo Way.

Qualifications & Experience:

  • Matric or equivalent.
  • Computer Skills.
  • SAP/GDS Fusion.
  • Strong administrative background.
  • Warranty and Maintenance experience within a dealership.
