Job Purpose

As the HR Support Advisor, you will be an integral part of the HR Shared Services team,  with a focus on data management,  reporting and administration work for our South Africa site. The integrity of our data is paramount to the success of the HR organization, so you will be devoted to making sure data is complete and accurate.  You will be able to understand and learn processes and systems quickly with the ability to build a good knowledge of how they work together as well as identify and implement changes that will drive efficiency and improvements across the whole HR global team.

Key Responsibilities

  • Act as the system specialist and database administrator for South Africa. This involves confidential data entry and manipulation within the HRIS system (IFS) for starters, leavers and employee changes.
  • Maintain an accurate position structure within the HRIS System (IFS) proactively adding positions for open vacancies and deleting unused positions.
  • Administer reporting on request, providing data exports from the HRIS (IFS) and Applicant Tracking System (Saba).
  • Execute data integrity exercises to ensure HR data is accurate
  • Manage and own letter generation processing across all South Africa sites for employee changes to terms and conditions.
  • Maintain and upload global organisation charts to the company intranet site.
  • Serve as the key liaison between the HR team, Technology, Data & Insights Team and Shared Services team for data management troubleshooting and process implementation.
  • Working with the Global Shared Service Manager, provide administrative and communicative support to  specific global processes such as twice yearly promotion process.
  • Escalate requests for HR advice to relevant HR Business Partners in a responsive, timely and efficient manner
  • Engage with and support the wider HR teams with special projects and administration support as needed.
  • Right to work checks
  • Benefits Administration- employee registration, data upload partnering with finance
  • All aspects of the employee lifecycle- letter and system changes including onboarding, benefits administration, employee changes and exit
  • Payroll audit- tracking all changes, audit for payroll, communicating changes and brought forward actions
  • Answering first line queries and escalating complex activities to HRBP


Experience required

  • HR administration and first line query handling
  • Demonstrate examples of procedural improvement and automation
  • HR system- data entry, changes, reporting
  • Payroll and Benefits administration
  • HR qualification
